How to schedule meetings across multiple time zones

Scheduling across three or more time zones fails for predictable reasons: ambiguous local times, silent DST shifts and unrotated inconvenient slots. The workflow below removes all three.

Jump straight into the matching tool — your inputs stay private to your device.

Step 1 — Anchor in UTC

Start the planning conversation in UTC, not in any attendee's local zone. UTC is the only common reference that doesn't shift with DST. Convert to each attendee's local time only when sending the invite.

Step 2 — Map the working hours

Drop every attendee's city into the team meeting scheduler. The overlap visualizer highlights any hour where all attendees are inside 08:00–18:00 local. If none exists, identify the smallest stretch any single region has to take.

Step 3 — Rotate the inconvenience

If one region always takes the 22:00 slot, you'll lose them quietly. Document a simple rotation: any meeting outside 08:00–18:00 local rotates to a different region next time. Pin the rotation in your shared workspace.

Step 4 — Send a self-describing invite

The invite description should list the time in every attendee's zone plus the UTC anchor. The meeting planner exports a ready-to-paste block. After DST shifts, re-confirm recurring meetings the same week.

Frequently asked

What's the easiest way to find a meeting time for 5+ people across regions?

Use a planner that visualizes each attendee's working hours on a shared UTC axis. The team meeting scheduler highlights the green overlap window in one view.

How do I handle attendees in zones with no overlap?

Default to async — record the meeting, post a written summary and use a polling tool for any decision that needs their input.
