How to coordinate team availability efficiently

Most availability negotiation is wasted because the team is re-deriving the same overlap window every week. Compute it once, save it, and coordination drops from hours to seconds.

1. Replace polls with a canonical overlap window

Doodle and Slack polls re-ask the same question every week. Instead, publish one canonical overlap window per team (e.g. 'Mon–Thu 14:00–15:00 UTC') and only poll when something falls outside it.

2. Visualize before you propose

Run the team scheduler with everyone's working hours, then propose only times that show green for every region. Proposing red times burns trust and forces a second round.

3. Treat working hours as data, not preference

Save each teammate's working hours into the team group so the visualizer renders them automatically. Personal preferences belong in the calendar; structural working hours belong in the workflow.
